Using the DMS Advanced Search

 

1.   Click the Document Management link from the action list.

2.   Click the Search link.

3.   Enter a Keyword Text Search, Modified by User Name and/or select a On or After Date or On or Before Date by clicking the Calendar link.

4.   Under Metadata, enter an optional Comment, Description and/or Document Number in the provided text fields (see Screen Shot).

6.   You may select one radio button from each column of search options as well as specify the maximum number of search results that you wish to see on each page of the results set.

7.   Click the Search button.

Note: The following are definitions of each Advanced Search provided criteria.

 

Search only locked files – Selecting this radio button specifies that only files that have been checked-in or locked in the DMS folder structure will be returned.

 

Search all revisions (not just most current) – Selecting this radio button specifies that all revisions of a file will be returned in the search not just the most recent version.

 

No special options – Selecting this radio button specifies that no special document options will be included in this search.

 

Search entire organization – Selecting this radio button specifies that all documents that are included under the root DMS folder will be searched including those specified in the File/Folder Name field.

 

Search only this folder – Selecting this radio button will only search for documents located in the folder specified in the File/Folder Name field. Documents that are housed in sub-folders of this folder will not be included in the search results returned.

 

Search this folder and sub-folders - Selecting this radio button will search for documents located in the folder specified in the File/Folder Name field as well as its sub-folders.

 

 

Note: If the number of search results exceeds the number in the Maximum Results pull-down menu, the search results will be divided into pages with Next/Previous buttons for navigation.
