VIEWING THE PROGRESS TRACKING REPORT

Prerequisite(s):  The proposed baseline payment schedule must have been approved for a contract.

 

1.   From your homepage, click the Contract Name link in the Contract Name column of the Contract List.

2.   Hover your mouse over the Reporting link on the menu bar.

3.   Click the Earned Value Analysis sub-link from the menu bar.

 

Note: The following are field definitions for the Progress Tracking Report that is displayed (see Screen Shot).

 

Month – This column represents the months over the life of a contract; the system uses the Estimated Start and Finish Dates provided on the contract summary page for a contract to derive these values.

 

Baseline % Work Complete – This value is entered by the awarded contractor when he initially creates

the proposed baseline payment (cash flow) schedule for a contract. This value represents the awarded contractor’s prediction of how much work will be completed for each month of a contract.

 

Revised Baseline % Work Complete – After each pay period is complete, the awarded contractor has a 14-day window where he can revise his original Baseline % Work Complete based on any changes that have been made to a contract or to account for issues such as weather delays, etc.

 

Baseline Amount – This value is entered by the awarded contractor when he initially creates the proposed baseline payment schedule for a contract. This value represents the amount of work that the awarded contractor anticipates completing for a given month for a contract.

 

Change Order Amount – This value is automatically populated by the system when a change order is verified by the awarded contractor for a given month for a contract.

 

Baseline plus Change Order Totals – This is a system calculated value; this is the sum of the Baseline Amount plus the Change Order Amount fields for each month of a contract.

 

Cumulative Baseline plus Change Order Totals – This is a system calculated value which maintains a running total of the Baseline plus Change Order Totals for each month of a contract.

 

Payment – This value is automatically populated by the system when a pay estimate for a given month for a contract has been approved. This value represents the Net Pay from that pay estimate.

 

Variance to Approved Amount – This is a system calculated value; this is the difference between the Payment and Baseline plus Change Order Totals values for each month of a contract.

 

Cumulative Actual Expenditure Plus Forecast – This is a system calculated value which maintains a running total of the Payments for each month of a contract.

 

Cumulative % Work Complete – This is a system calculated value which maintains a running total of the Revised Baseline % Work Completes for each month of a contract.

 

Variance Explanation Comments – This field displays comments that are entered by the awarded contractor for each month of a contract explaining why there is a variance between the predicted Baseline Amount and the actual Payment amount.
