CREATING A REQUEST FOR INFORMATION        

Prerequisite(s):    User must be a team member of a Contract.

 

1.   From your homepage, click the Contract Name link in the Name column of the Contract List.

2.   Hover your mouse over the Contract Management link on the menu bar.

3.   Click the Issues & Information Management sub-link from the menu bar.

4.   Click the Create link for Request-for-Information (RFI).

2.   Click one of the radio buttons for Action Requested.

3.   Use the calendar pop-up next to Due Date to assign a due date to the RFI.

4.   Use the provided drop-down menus to select a Specification Reference and Facility Name.

 

Note: Providing a Drawing Sheet # and Task/Activity ID are optional.

 

5.   Enter the Subject, Problem Description, and Facility Location into the appropriate textboxes.

6.   Use the provided To pull-down menu to select the RFI's primary recipient.

 

Note: RFIs only have one selection for the primary recipient which is customized by each client.

 

7.   Click all the team members from the Team Distribution list that require visibility to the RFI; hold the CTRL for each beyond the first selected, then click the > button.

 

Note: Team Distribution members are able to view this RFI after it is submitted.

 

8.   To remove one or more team members from the Team Distribution list, click a member displayed in the right list box; hold the CTRL key for each beyond the first selected, then click the < button.

 

Note: Removing Team Distribution member(s) removes their access to this RFI and prevents them from receiving any further system notifications and emails for this RFI.

 

9.   To notify one or more Non-Team Members (individuals not included in the Team Distribution list) of this RFI, enter the email addresses in the textbox provided and click the Add button.

10.  To remove one or more Non-Team Members, click the email addresses provided to the left of the Remove button; hold the CTRL key for each one beyond the first selected and click the Remove button.

Note: Removing Non-Team Member(s) prevents them from receiving any further system notifications and emails for this RFI.

 

11.  Click the Save button to save this RFI.

 

Note: Once an RFI has been saved, it can still be edited by the Originator. Documents may be uploaded by the Originator before an RFI is submitted. Removing Non-Team Member(s) prevents them from receiving any further system notifications and emails for this RFI.

 

12.  Click the Save button to save this RFI.

13.  Click the View Log / Add RFI Response link for RFI.

14.  Click the link for the RFI previously created.

 

Note: To add attachments to this RFI before submitting, refer to the section VIEWING AND/OR ADDING REQUEST FOR INFORMATION ATTACHMENTS.

 

15.  Click the Submit button to save and send this RFI to its primary recipient and Team Distribution members.
