EDITING CONTRACT SUMMARY INFORMATION

Prerequisite(s):            A contract must have been created.

 

At various stages throughout a contract’s lifecycle, contract fields become non-editable.  The following is a list of fields and stages at which they become non-editable:

 

Service Type – cannot be edited after the bid opportunity for a public or private contract has been saved;

-or- after line items have been added to the scope of work for a public or private contract;

-or- after the bid opportunity invitations have been sent to contractors on a private contract;

-or- after a sole source contract with selected contractor has been submitted for approval.

Contract Bid Package Requires Contractors to Respond to – cannot be edited after the bid opportunity for a contract with a public or private bid type has been created and saved. 

If “Planning” was selected, it cannot be edited until the Project has been added to a Capital Program (using the Capital Program Planning functionality) and that Capital Program has been approved.

Allow Vendors to Provide in their electronic bid – cannot be edited after the bid opportunity for a contract with a public or private bid type has been created and saved.

Bid Type - cannot be edited after the bid opportunity for a contract with a public or private bid type has been created and saved or after any line items have been entered for a sole source contract

Bid Bond/Guarantee Required – cannot be edited after a public or private bid has been published.

Qualification Required – cannot be edited after a public or private bid has been published.

Board Approval Required – cannot be edited after a public or private bid has been published.

 

1.   From your homepage, click the Contract Name link in the Name column of the Contract List page.

2.   Click the Edit Contract button below the Contract Summary information box.

3.   Highlight the field that you want to edit and enter the new information into the field.

4.   Click the Save button at the bottom of the page to save the changes.

5.   A confirmation appears ensuring that the contract summary revision has been saved.
