SENDING THE RFP/BID PACKAGE (PUBLIC OR PRIVATE)

Prerequisite(s):    The Private Bid/Procurement Invitation must have been sent to contractors on a Private bid only.

            The scope of work must have been finalized.

            The Private Bid/Procurement Invitation RSVP Due Date and time must have elapsed

A User must be assigned to each role for the contract

 

Note: Invited Contractors and their participation responses can be viewed by following the instructions found in section Viewing Invited and/or Subscribed Contractors.

 

1.   From your homepage, click the Contract Name link in the Name column of the Contract List.

2.   Hover your mouse over the Procurement Opportunity link on the menu bar.

3.   Click the Send RFP/Bid Package sub-link from the menu bar.

4.   A list of contractors that responded that they would like to participate in the bidding process for that contract appears.

5.   Click the Send RFP/Bid Package button to send the RFP/Bid package to the listed contractors.  (see Screen Shot)

6.   A confirmation appears ensuring that the bid package has been successfully sent to the contractors.

 

Note: If no contractors have responded yet that they wish to participate in the bidding process for this contract, then an email and system notification will be sent to all contractors in the system whose type of services matches that of the RFP/Bid package that is being published.

 

To send the Bid Package to additional contractors (Private bid only):

a.  Hover your mouse over the Procurement Opportunity link on the menu bar.

b.  Click the Send RFP/Bid Package sub-link from the menu bar.

c.  A list of contractors that were not originally sent the Private Bid/Procurement Invitation appears.

d.  Check the box in front of each contractor(s) that you wish send the bid package.

e.  Click the Send RFP/Bid Package button at the bottom of the page.
