SEARCHING AND ADDING AN EXISTING VENDOR ID TO A VENDOR’S PROFILE FROM AN ERP SYSTEM

Note:  This functionality may not apply to all CapEx Manager Clients.  Please consult your System Administrator to confirm availability of this feature.

 

1.   Hover your mouse over the Administration link on the menu bar.

2.   Click the Verify Vendors sub-link from the menu bar.

3.   Click the Vendor’s Name link under the ‘Company Name’ column that you wish to verify from the ‘Vendors To Be Approved’ list.

4.   Review the vendor’s contact information and confirm the Federal Tax ID provided.

5.   Click the ‘…’ button for the Vendor ID field (see Screen Shot).

6.   In the Search For Vendor Information popup window, the a search may be performed for a Vendor ID by the entering the vendor’s name, vendor’s Federal Tax ID or vendor’s vendor ID in the Search Value field and by clicking the appropriate radio button provided in the Search Criteria field based on the criteria entered (see Screen Shot).

7.   Click the Search button.

8.   Click the Select button to select any matching results. The Vendor ID for the contractor that was selected will be prepopulated into the read-only Vendor ID field on the Verify Vendor Registrations page.

 

Note: Click the Reset button to clear the Search fields or the Cancel button to close the popup window.

9.   Select a Service Classification Code from the list.

 

Note: One or more Service Classification Codes may be selected. Click the Vendor Registered Goods/Services link to view the goods/services codes provided for the vendor’s profile.

 

10.  Click the Approve button to approve this vendor’s profile so this vendor may begin bidding on contracts.

11.  Click the Reject button to reject this vendor’s profile and add this profile to the ‘Vendors Rejected’ list on the Verify Vendor Registrations page.

 

Note: If rejecting a Vendor’s Registration information, you must enter a comment in the box provided before clicking the Reject button.
